Privacy Policy

This Privacy Policy describes how Brand Accounting Solutions, LLC ("we," "us," or "our") handles information in connection with the accounting and bookkeeping services we provide and the software tools and integrations we use to deliver them. Clients are also governed by the engagement Terms & Conditions they accept when retaining our firm.

Information we handle

We handle the business, accounting, payroll, and financial information that you provide to us or that you authorize us to access through platforms you use — such as accounting, payroll, and bill-pay systems — together with related contact information. We access only the information reasonably needed to perform the services you have engaged us for.

How we use information

We use this information solely to provide our services and to operate the tools that support them. We do not use your information for advertising, and we do not sell it.

Service providers, including automation and AI tools

To deliver our services we may transmit information to trusted third-party service providers — including secure cloud hosting and artificial-intelligence and automation tools used for tasks such as classification, document review, research, and drafting. We work only with established, reputable providers that agree to safeguard your information and to use it solely to perform services for us, and we use only AI and automation providers whose terms prohibit the use of your data to train their models. All such tools are used under the supervision of a licensed professional, and we remain responsible for the resulting work product.

Data security

We maintain a Written Information Security Plan and administrative, technical, and physical safeguards designed to comply with the FTC Safeguards Rule under the Gramm-Leach-Bliley Act and applicable Indiana data-protection and breach-notification laws. These include access controls, encryption of sensitive data in transit and at rest where commercially feasible, multi-factor authentication, and ongoing vendor due diligence. In the event of a security incident affecting your information, we will notify you without unreasonable delay and cooperate on any legally required notifications.

Confidentiality

Information acquired in the course of our engagements is subject to strict confidentiality obligations under the AICPA Code of Professional Conduct and the rules of the Indiana Board of Accountancy. We do not disclose it except as permitted or required by law or with your consent.

Your choices

Where you have connected a third-party platform to authorize our access, you may revoke that access at any time from that platform's settings (for example, under its connected-apps or integrations area). Revoking access stops further processing through that connection.

Retention

We retain records related to an engagement consistent with our engagement terms and applicable professional and legal requirements (generally seven years), after which they may be destroyed.

Changes to this policy

We may update this Privacy Policy from time to time; material changes will be reflected by the effective date above.
